Help & FAQs
Frequently Asked Questions
Everything you need to know before you travel with Luxxe, from deposits and monthly payment plans to visas, the best time to visit Europe and Panama and how we keep you safe. Still have a question? We are one message away.
Planning your trip with Luxxe
Why book with a travel designer instead of booking it myself?
Because we save you time, protect you from costly mistakes and open doors that are closed to the public. As IATA accredited travel designers we plan every detail, negotiate on your behalf and stay with you from the first idea to the day you return home. You travel with one trusted expert managing it all, not a call centre.
Can you plan my entire trip for me, like a personal concierge?
Yes. That is exactly what we do. More travellers are turning to AI tools to find a deal, but a screen cannot read a room, call in a favour or solve a problem at midnight in Rome. We give you the ease of a concierge with the judgement of a real expert who knows you by name.
How do I book and can I hold my place before I pay?
Start with a quick enquiry by WhatsApp, phone or our online form and we will design your options. On most group departures we can hold your place while you decide. A deposit confirms it.
How far in advance should I book and when is the cheapest time to book flights?
For escorted group tours and peak seasons, six to twelve months ahead gives you the best fares, the best rooms and the longest runway to pay. For flights, booking roughly two to five months before travel usually lands the best value. We watch fares for you so you do not have to.
Deposits and payments
What deposit do you require and is it refundable?
A deposit secures your place and your pricing. Because we commit your funds to airlines and hotels straight away, deposits are non-refundable. We will always be clear about what is payable and when.
Can I pay for my trip in instalments?
Yes. You pay a deposit to confirm, then settle the balance on a comfortable monthly payment plan up to your final payment date. No large lump sum and no stress.
Cancellations and protection
Can I change or cancel my booking and what are the charges?
Changes depend on the type of travel. For our Group and Escorted Tours, any change or cancellation must be made at least 150 days before departure. Airfare depends on the ticket you bought. A refundable ticket can be changed or refunded within the airline’s rules. A non-refundable ticket cannot. We will always talk you through your options first.
What happens if a group tour does not reach its minimum numbers?
On the rare occasion a departure does not reach its minimum, we offer you alternative dates or a full refund of what you have paid us. You are never left out of pocket for a decision that is ours.
Do I need travel insurance and what should it cover?
Yes, we treat it as essential. The cover that matters most on a trip from Trinidad and Tobago is strong medical and emergency repatriation protection. Our policies are medical-led, so they do not include trip cancellation. We will always be clear about what is covered before you buy.
Can you arrange my travel insurance?
Yes. We place medical-led travel insurance with strong medical and emergency repatriation cover, suited to your destination and the length of your trip.
Flights, passports and visas
Are international flights included and can you book them for me?
Tour prices are usually land-only so you are free to choose your routing. Yes, we book your flights as a single all-in quote. You travel on one seamless itinerary with your flights, tour and transfers aligned.
Do I need a passport and visa to travel from Trinidad and Tobago?
You will need a passport valid for at least six months beyond your travel dates. Visa rules depend on where you are going. For much of Europe, Trinidad and Tobago passport holders currently travel visa-free for short stays, with the new ETIAS travel authorisation being introduced. For the United States a visitor visa is required. We confirm the exact current requirement for your nationality and destination when you book, so there are no surprises.
What documents do I need to travel?
Your valid passport, any visa or travel authorisation for your destination, your travel insurance details and your Luxxe itinerary. We send you a clear document checklist for your specific trip. We recommend carrying secure copies separately from the originals.
Destinations, timing and safety
What is the best time to visit Europe?
Late spring, May and June, and early autumn in September give you warm weather, lighter crowds and better value than the July and August peak. If you prefer the buzz of high summer, book early because the best hotels sell out first.
What is the best time to visit Panama?
The dry season, from mid-December to mid-April, is ideal for the city, the coast and the rainforest, with the most reliable sunshine. The green season from May to November is lush and quieter, with short afternoon showers and lower prices.
Is it safe to travel to Europe or Panama, including as a solo traveller?
Yes. We only run destinations we have personally vetted. We monitor official travel advice throughout. Solo travel is at an all-time high. Our escorted groups are a warm and secure way to enjoy it, with a Luxxe host and a ready-made circle of travelling companions.
How much spending money should I take to Europe?
Cards are widely accepted across Europe, so carry a modest amount of euros for tips, taxis and small purchases and use your card for the rest. Your main extras will be meals that are not included, optional excursions and souvenirs. We will give you a realistic personal budget for your itinerary.
On your tour
I am a solo traveller. Is there a single supplement and will I fit in?
A single supplement applies if you would like a room to yourself. You will fit in beautifully. Solo travellers are the norm on our tours, not the exception. Our hosts make sure no one ever feels on their own.
What is included in the price and what is not?
Every itinerary lists it in full. Typically included are your accommodation, listed meals, tours, entrances and transport with an expert guide. Typically extra are flights unless we have quoted them, optional excursions, tips and personal spending. No hidden surprises.
What are the hotels like and can I upgrade my room?
We hand-pick characterful 4 and 5-star hotels in excellent locations, chosen to suit your budgetary preferences. If you would like a room upgrade, a better view or a suite, just ask and we will arrange it.
What meals are included and can you cater for dietary needs?
Breakfast is typically included on our Group and Guided tours, with some lunches or dinners on selected days. The rest is left free so you can explore. We happily cater for vegetarian, vegan, allergy and faith-based diets when you tell us in advance.
How fit do I need to be and are there age limits?
Most of our tours suit travellers with reasonable mobility who are comfortable walking and standing during sightseeing. There is no upper age limit. If a particular departure is more active, we will tell you honestly before you book.
Extras and connectivity
Can I add days before or after my trip?
On our Guided Tours, yes. Extra days or nights before or after your tour let you rest, explore further and make the most of your airfare. We will handle every booking. Our Group Tours run to set dates and a set itinerary, so the tour itself is fixed.
Will my phone work abroad and do you offer eSIMs or data plans?
Yes. We set you up with a Luxxe eSIM or data plan so you land already connected, with maps, messaging and calls ready and no bill shock when you get home.
Do you book cruises and can I add a pre or post-cruise stay?
Yes, we book cruises across the major lines and regions. A pre or post-cruise hotel stay is one of the best ways to arrive relaxed and see more of your departure city. We will build it seamlessly around your sailing.
Still have a question?
Tell us where you dream of going and we will design the rest. A quick message is all it takes to start.
